Private browsing mode is a feature that hides your internet activity from anyone who uses your device.

When you use your browser’s private mode, your search history, passwords, and other browsing data aren’t saved on your device which means when other people use your device, they won’t see what you did during your private browsing session.

Incognito mode is the same as private browsing — Incognito mode is simply what Google Chrome calls private browsing.

After browsing in private mode, your search history and cookies are wiped clean, so if anyone borrows your device they won’t know which websites you visited or what you entered into search engines.

If you search for presents while browsing in private mode, no one in your family will see what you searched for if they use your device later.

While private browsing, or going incognito, removes most traces of your browsing activity from your computer or phone, it does not mean you stay anonymous online and it does not protect you from web tracking.

The registered AD Group’s Members are validated every 12 hours (Schedule Time – 2 AM and 2 PM UTC Daily).

The specific time is configured across all Regions. Therefore, all Organizations will follow the same scheduled time. It is not customizable for Organization wise.

With a Shared Drive backup, if the scan shows that the drive is empty then it will not check again for 1 week. If new items are found, it will then proceed with a normal schedule from there.

Please note that if a user/drive/team is detected as being empty it will not follow this schedule.

Instead, Dropsuite will check periodically to see if any data has been added and will then proceed with backups normally once we find data and how often this checks depends on the data type.

  • For email/OneDrive: DropSuite will check twice a day to see if there is data and will start backing up once data is found.  One thing to note is that if there is no email data, OneDrive will also not back-up.  However, if there is email data and no OneDrive data, then only OneDrive is disabled.  Once data is detected, the backup will run as per the above schedule from that point forward.
  • For SharePoint and/or Groups & Teams: DropSuite will check every 3 days to see if data exists.  Once data is detected, the backup will run and will proceed with the above schedule from that point forward.
    • The 3 day window can be configured on the Dropsuite backend.  If you would like to change that, please submit a ticket with our support team and we will assist with getting that changed.

Keeper “One-Time Share” provides time-limited secure sharing of a record to anyone without requiring them to create a Keeper account. For each user, the Record Password Strength is calculated by the taking the number of strong, medium, or weak passwords and dividing it by the total number of records.

For example, if a user’s vault has 10 total records where:

  • 6 of the records have a strong password
  • 3 of the records have a medium password
  • 1 of the record has a weak password

The Record Password Strength score for this user will be as follows:

  • Strong passwords: 6/10 = 0.6 = 60%

Unique Record Passwords

The Unique Record Passwords score represents the percentage of record passwords, across all record passwords for all users, that are Unique or Reused. This score is calculated by adding all user’s individual unique password score, and then dividing it by the total number of records.

For each user, the Unique Passwords Record Score is calculated by taking the number of unique passwords in the user’s vault and dividing it by the total number of records.

For example, if a user’s vault has 10 total records where:

  • 6 of the records have a unique password
  • 2 of the records share the same password
  • 2 of the records share the same password

There are 6 unique passwords, 1 unique password that is shared between 2 records, and another unique password that is shared between 2 records. Thus, there are a total of 8 unique passwords. The Unique Passwords Record Score for this user will be as follows:

  • Unique passwords: 8/10 = 0.8 = 80%
  • Reused passwords: 2/10 = 0.2 = 20%

Two-Factor Authentication

The Two-Factor Authentication score represents the percentage of users that have enabled Two-Factor Authentication. This score is calculated by adding all the Two-Factor Authentication scores of all users and then dividing it by the number of total users.

For each user, the Two-Factor Authentication score will be one of the following values depending on whether the user has Two-Factor Authentication On or Off:

  • 0% if Two-Factor Authentication is Off
  • 100% if Two-Factor Authentication is On

Master Password Strength

The Master Password Strength is not displayed on neither the Vault Clients nor Admin Console. Instead, the Master Password Strength is displayed upon Account Creation.

For each user, the Master Password will be 100% if the Master Password’s strength is Strong, and 0% otherwise.

For the overall Security Audit Score calculation, the average Master Password across all users is used.

Two-factor codes will be automatically copied to your clipboard when possible. To copy a code manually, tap the copy icon next to the code and when prompted paste the code into the field provided.

Once the setup steps are complete, websites or applications that support passkeys will either prompt you to create a passkey or will provide a setting in your account section to setup a passkey login.

  • Creating a passkey for a website or app is a simple process on your iOS device.
  • Tapping Create Passkey on a site or app will trigger Keeper to intercept the request. Keeper then prompts you to create a passkey for your associated login and saves it to your vault.
  • Returning to sites or apps where you have a stored passkey you will either be prompted to sign in with passkey or will be able to select Sign in with Passkey. Keeper does the rest!

When scareware blocker suspects a page is a scam, Microsoft Edge will put you back in control by exiting full screen mode, stopping aggressive audio playback, warning you, and showing a thumbnail of the page.

Outlook stores data it downloads from mail servers in a PST or OST file locally in Windows and the default file size is set at 50GB, although with some simple registry edit tweaks this default max file size limit can be increased to 100GB.

When do Maximum File Size Problems in Microsoft Outlook occur?

There are a variety of things that can cause you to get an Outlook popup that complains you cannot send / receive email due to max file size, here are some of the common reasons this might happen:

  1. When you have too much email and have not cleared out your emails for a long time
  2. When you have a mailbox that allows you to store more than 50GB of emails such as an Microsoft 365 Plan2 mailbox that allows 100GB rather than the standard 50GB
  3. When you have access to other shared mailboxes such as a Microsoft shared mailbox but unfortunately the shared mailbox contributes to the PST/OST file size on top of your personal mailbox, so it fills up the local PST/OST file and hits the 50GB limit.

What is System Restore?

System Restore is a Microsoft Windows utility designed to protect and revert the operating system (OS) to a previous state and is useful when there is a need to undo system changes made since the restore point was created, while avoiding a reinstall of the entire operating system (OS).

How Windows System Restore Works

System Restore continually monitors system activity and regularly takes snapshots of system files, device drivers, installed programs and Windows registry keys, saving those snapshots as restore points.

Restore points in System Restore are automatically created when certain activities occur in the system which can include software installations, device driver installations and device driver updates.

Benefits of System Restore

The most important benefit of System Restore is that it allows the reversal of changes made to the operating system that affect system performance or its basic operation.

Another benefit of system restore is that it can fix issues with system stability that might occur after a particular event, such as the installation of software containing a virus or problematic Windows updates by restoring the computer back to an earlier restore point.

Similarly, if a new program doesn’t function properly, a patch slows down the computer or if the system stops responding, the utility will attempt to correct these problems by reverting to a system snapshot that was saved before the troubles began.

What System Restore Does Not Do

System Restore only restores critical system files and the registry file, but it does not affect personal data, such as photos, new files, new email messages or changes to documents. It also doesn’t affect any files, videos, photos, etc., imported or downloaded to the computer.

Because the utility doesn’t restore personal files, it’s important to make regular backups of those files.

When restoring a system to a restore point, System Restore may remove programs installed after the restore point was created. However, it doesn’t remove any files created by the program.

If you encounter any issues with the software, it will need reinstalling and then check that it is working correctly.

Lastly, delete the C:\Program1 folder.

When Should You Replace the Toner Cartridge?

The toner cartridge which contains the toner powder which comes in standard or high yield sizes fits inside a drum unit that must be installed together for your Brother printer.

Once the toner cartridge reaches the quoted page yield or approximated number of pages, you should be prompted with a message saying toner low or replace toner.

Why is Brother Printer Toner Replacement Important?

Keeping an empty cartridge for too long fitted can cause the printer to overheat and gives irreversible and expensive damage.

12.1.1 Improve Print Quality on a Brother Laser Printer

If you are experiencing a print quality issue with your Brother laser printer, here are a few things you can try to resolve the issue.

Print Density (Adjusting the Print Darkness)

Print density is the setting which will change the darkness or intensity of the printout.

If you are not happy with the darkness of the black for example on a Brother Mono Laser, then try changing the print density level to maximum which results in a much darker, clearer printout.

Here how to change the darkness setting:

  1. Go to Control Panel > Hardware and Sound > Devices and Printers
  2. Right click on your printer and select Printing Preferences
  3. Click on Advanced > Other Print Options > Density Adjustment
  4. Set the slider to Darkest

You should immediately see the print quality darken and become much darker.

Improve Print Output (Stop Toner from Rubbing Off)

Have you ever encountered the issue with the toner rubbing off of the page?

Believe it or not, this is quite a common issue and there are many factors involved that cause to this happening.

Often when printing on labels or thicker paper the toner does not burn onto the page enough which results in it easily rubbing off.

This can be easily resolved and there are a couple of settings that you can adjust to fix the problem.

Here’s how to change the Improve Print Output:

  1. Go to Control Panel > Hardware and Sound > Devices and Printers
  2. Right click on your printer and select Printing Preferences
  3. Click on Advanced > Other Print Options > Improve Toner Fixing
  4. Select Improve Toner Fixing
  5. Click OK > Apply

Once this changed this setting you should notice an improvement on how well the toner sticks to the paper or labels, however if you are still not satisfied with how well it is sticking to the paper you can also change other settings to improve the adhesion even more.

Media Type (Select Paper Thickness)

If you are still wanting to burn the toner onto the paper or labels even harder, then you can make adjustments to the print media by selecting a thicker paper setting.

What this will do is slow down the speed at which the printing occurs which in turn burns the toner powder harder onto the print medium.

The only drawback is the fact that it will slow down the print speed considerably, however if should definitely stop the toner from rubbing off altogether.

Here’s how you can change this setting:

  1. Go to Control Panel > Hardware and Sound > Devices and Printers
  2. Right click on your printer and select Printing Preferences
  3. Stay on Basic and under Media Type, select Think Paper
  4. Click OK > Apply

When you print now you will notice that by selecting the Thick Paper setting that the print speed has slowed considerably, which allows the printer to bake the toner powder much harder onto the paper.

You can leave the setting like this if you are not bothered about the slow print speed or you can simply adjust it only when you are printing labels etc.

By changing this setting, you should find that the toner is almost impossible now to rub off and it does help with printing eParcel labels.

Clean the Drum Unit

Are your printouts spotted or contaminated? It could be that your drum unit needs a good clean.

If you have dots or print defects repeated at equal distances vertically up the page, then the drum is most likely at fault.

Remove the drum unit from the machine, release the toner from the drum and then using a lint free cloth clean the entire drum roller surface or at least clean any contamination that is visible.

You can use some Mentholated Spirits or Isopropyl Alcohol on the cloth to help remove the contamination but NEVER use anything that will leave an oily residue on the roller.

When re-installing always move the “Corona wire” ( usually has a green knob ) back and forth several times to make sure it is clean and ALWAYS make sure it rests in the correct position, fully to the correct side.

Fixing a Dirty or Gray Background

A very common issue with Brother Laser printers is a printout with a dirty or grayish background which is usually caused by a faulty toner.

Often low-grade compatible toners have a poor or faulty wiper blade which means that any excess toner on the roller does not get removed completely and so ends up being transferred to the drum unit resulting in a dirty background, the only solution to this is to change the toner.

When you change the toner, you may also need to clean the drum unit to restore a clean print quality.

A printer not recognising a new ink or toner cartridge is one of the most common issues that print owners experience when changing or replacing an empty one, irrespective of what brand printer you have, and this mostly affects people who are replacing compatible, remanufactured, generic or refilled ink cartridges (cartridges not made by the printer manufacturer).

There may be occasions when, after installing a new ink or toner cartridge in your printer, you might see a message on your printer like:

The Security Center is a tool that allows you to evaluate the strength of your passwords and check for Compromised, Reused or Weak Passwords.

Here you will see your Security Score displayed at the top of the window, with the individual password breakdown below. Clicking “Show more” beneath your Security Score will present you with a more detailed breakdown of the strength of your passwords.

Password strength for individual passwords is calculated using an algorithm based on zxcvbn

Logins can be sorted based on Name, Password Strength, or Age (starting with when they were stored in RoboForm).

NOTE: Sorting by age is only possible in the Weak, Reused, and All tabs.

When you first open the Security Center, you will be on the Compromised Tab. 

To update a Compromised Login, or to increase a weak password’s individual strength and, by extension, the overall Security Score, hover your mouse over a Login and click the Log In (play button) button which will appear. 

Then, use the site’s procedure to update the password using the RoboForm Password Generator. Once saved in RoboForm, the Security Center will recalculate the score.

Next to the Security Overview tab, you will see the Data Breach Monitoring tab. RoboForm’s Data Breach Monitoring scans for data breaches containing your email addresses and personal information using the Have I Been Pwned (HIBP) database.

On this tab, you can add emails you would like RoboForm to monitor for data breaches. If RoboForm detects breaches containing data connected to your email, you will see them listed here.

What is a compromised password?

A compromised password is an individual password that has previously been seen in a documented data breach where hackers released the stolen data publicly or sold it on the Dark Web. 

To detect compromised passwords, RoboForm checks against a list maintained by Have I Been Pwned (HIBP), a service that collects passwords exposed in data breaches.

How can I tell which of my passwords have been compromised?

Logins with compromised passwords are marked with a red exclamation point icon  in the RoboForm extension and in the Security Center.

What should I do if I see a password that is compromised?

If you see that one of your passwords is compromised, you should update it immediately.

To update a compromised password, follow these steps:

How does RoboForm know that a password is compromised?

RoboForm checks against the Pwned Passwords list maintained by HIBP. The list is comprised of hundreds of millions of real world passwords previously exposed in data breaches. This exposure makes them unsuitable for ongoing use as they’re at much greater risk of being used to take over other accounts. 

How does RoboForm securely and anonymously scan my passwords without revealing them?

The passwords on the full HIBP list of compromised passwords are hashed with SHA-1. In addition, the RoboForm client does not transmit complete password hashes when checking against the list. 

As discussed in more detail here, we use a technique called k-anonymity in order to verify without revealing the individual password.

Ubiquiti UniFi offers a native, gateway-level Ad Blocking feature that functions as a DNS sinkhole, filtering out advertisements and trackers across all connected devices.

It requires a UniFi Gateway (UDM, UDR, UXG) and is designed for easy, single-click activation, reducing the need for device-specific ad blockers.

Key Details About UniFi Ad Blocking

  • How it Works: It functions as a DNS sinkhole, intercepting and dropping DNS requests that match a list of known ad/tracker domains.
  • Implementation: It can be enabled for specific networks (VLANs) or across the whole network in the UniFi Site Manager.
  • Performance: It is a “set-it-and-forget-it” feature, offering better efficiency than browser-only extensions because it works on TV boxes, IoT devices, and mobile apps.
  • Limitations: It can sometimes be too aggressive, causing issues with some legitimate site loading, and lacks granular customization for custom blocklists.
  • Customization: While you cannot customize the default block lists, users can create “Domain Allow” rules to override accidental blocks.

How to Enable It:

  1. Open the UniFi Network Application
  2. Navigate to Settings > Security > Ad Blocking
  3. Toggle the feature On
  4. Select which networks to apply it to

16.2.1 Ubiquiti UniFi Intrusion Detection & Prevention (IDS/IPS)

Intrusion Detection (usually called Intrusion Detection System – IDS) is a cybersecurity mechanism that monitors computer systems or networks to detect suspicious or malicious activity and alert administrators.

I’ll explain this clearly in three parts:

  1. What intrusion detection is
  2. How it works and its types
  3. How to enable or use it (in common environments)

What Is Intrusion Detection?

Intrusion detection is the process of identifying unauthorised, abnormal, or malicious actions on a system or network.

An IDS does not stop attacks by itself – its primary role is to detect and alert.

How Intrusion Detection Works

An IDS continuously monitors:

  • Network traffic
  • System logs
  • File changes
  • User behavior
  • Running processes

It compares what it sees against known attack patterns or normal behavior baselines.

Detection Methods

1. Signature-based Detection

  • Matches activity against known attack patterns (signatures)
  • Very accurate for known threats
  • Cannot detect new or unknown attacks

2. Anomaly-based Detection

  • Learns what “normal” behavior looks like
  • Flags deviations (e.g., unusual login times or traffic volume)
  • Can detect new attacks but may generate false alarms

3. Hybrid Detection

  • Combines both methods (most modern systems use this)

Types of Intrusion Detection Systems

A. Network-based IDS (NIDS)

  • Monitors network traffic
  • Detects attacks like port scanning, DDoS, malware traffic
  • Installed on:

16.2.1 Enable Multicast Filtering for AirPlay & Chromecast

Using AirPlay and Chromecast on networks with more than 100 wireless clients may degrade performance due to the use of multicast traffic.

The following steps will optimise network performance:

  1. Enable Multicast and Broadcast Control on the WiFi serving 100+ clients.
    • Note: This will break connectivity of other services using multicast or broadcast traffic unless you add them as “Exceptions.”
  2. Create a new Network (VLAN).
  3. Create a new WiFi to broadcast the network.
  4. Connect all AirPlay/Chromecast clients to this new WiFi.
  5. Ensure Multicast Filtering is enabled for all networks used to broadcast WiFi.
    • Found in Settings > Networks. 

16.2.1 Stop Sonos Devices Causing Slow Network Speeds

Sonos devices commonly cause network loops, which can cause slow speeds or even total network malfunction.

Background

Many Sonos devices are equipped with SonosNet, a proprietary wireless mesh network on the 2.4 GHz spectrum that enables communication between other Sonos devices. With SonosNet, a Sonos device can connect to a wired network and “extend” the connection to other wireless Sonos devices, without involving an existing Wi-Fi SSID.

Note: Sonos Era, Move, and Roam products do not support SonosNet. They can only be connected directly to your Wi-Fi network.

SonosNet is itself a fully featured network, including spanning tree features. However, this spanning tree implementation is not configurable and can conflict with professional network setups. Together, these things can result in unexpected network loops or STP discarding states on critical switch ports, including AP uplinks.

Fortunately, with some simple tips, Sonos devices can coexist perfectly with your UniFi deployment.

Best Practices

If Sonos Devices are Wired

  • Ensure all Sonos devices are wired. None should be connected via WiFi.
  • Use the same Network/VLAN for all Sonos devices.
  • Connect all Sonos devices to the same switch, if possible.
  • Disable SonosNet and Wi-Fi on all Sonos devices.
  • Do not daisy chain Sonos devices together using the same LAN port on a UniFi switch.
  • Set STP priorities on your switches.

If Sonos Devices are Wireless

  • Ensure all Sonos devices are wirelessly connected. Do not wire any into your network.
  • If SonosNet is in use for legacy speakers, ensure the 2.4GHz channel used by SonosNet does not overlap with any existing 2.4GHz WiFi managed in UniFi. This will create unnecessary interference and degrade overall network performance. We recommend using SonosNet on channels 1/6/11.

Follow these steps to get your UniFi Protect system up and running:

  1. Prepare Your UniFi Console: Ensure that your UniFi Console is set up and running UniFi Protect. To view installed UniFi applications, click the settings icon on the left navigation bar, then select Control Plane. Refer to How to Set Up UniFi for more details.
  2. Connect Your Cameras: Plug each camera into a PoE switch to power them and provide network connectivity.

17.1 Domain Names

domain name is your website’s address on the internet (yourbusiness.com) and can make it easy for people to find your site or you can use it for branded email (hello@yourbusiness.com).

17.1.1 Domain WHOIS Lookup

You can use a WHOIS domain lookup tool to quickly and easily find the information on a domain name you’re interested in.

Retrieve useful data related to the domain name such as the creation, expiration dates and ownership.

 Note: Quite often personal details are hidden on .com and .net domain names

17.1.1 .AU Domain Name Lost Login Details

Getting the .au domain name for your business is a simple yet important step in establishing and protecting your business identity and brand.

Registering isn’t forever and renewal is required within a year, or a few years if you initially register for a longer term.

Next Century Media makes it easy for clients by managing domain names for you and it’s simple to register a .au domain name starting your website journey.

The domain name is kept with a registrar with your details and one of the requirements for .au domains is a valid ABN which is regularly checked by the .AU authority.

In some cases, the domain name registration might have been registered originally by someone else, and you don’t have the login details at all.

While not common, we have come across this situation at times and to make it worse, the client may have no idea what the login details are to access the domain, possibly originally registered by a web designer no longer in business, a mate no longer in touch, or simply can’t remember.

Where To Find Domain Username and Password

Depending on where your domain name is registered and who it was registered through, obtaining the username and password may be challenging. When someone asked about their username and password for their domain name, it’s normally for the login details for the registration service, not the domain password itself.

If you are uncertain about where the domain is registered, you may be able to find out by performing a WHOIS Lookup with auDA and WHOIS provides the following information:

  • Registrar of record for the domain name
  • Registrant of the domain name
  • Registrant contact name and email address
  • Technical contact name and email address
  • Computers for the domain name

The details will not reveal the username and password for the domain name, it will give you some details that will help find who the domain name is registered with, and who is the person or entity that owns the domain name.

The registrar is the entity responsible for maintaining your domain name and its records and will give you an idea of where your domain name is registered through.

Some registrars are obvious, such as GoDaddy or NetRegistry but others may be a reseller or other associated entity, such as Next Century Media who is a reseller with Synergy Wholesale who have a page that will let you find out who the reseller is here: Synergy Wholesale Partner Lookup Page

If the domain name registered email is one that you have access to, look at the Recover .au Domain Password guide

Once you know the registration service, you may be able to request a password reset and if the username is not the email address, some registration services have a username recovery feature as well.

The registrant contact and the technical contact will give you an idea on who may have the login details but unfortunately, some web designers use their own details instead of the customer’s and in this case, the contact email addresses may help you identify who to contact to request access to your domain name.

17.1.1 .AU Domain Recover Password

If you want to transfer a .au domain to a different registrar or reseller, you don’t necessarily need to have a username and password to access the registrar.

The domain password (this is different to the username and password for the registration service) can be recovered without logging in to the service used to manage and renew the domain name.

The recovered domain password will be sent the registered email address for the domain by using the auDA’s Recover .au domain name password and expiry date page.

17.1.1 .AU Domain Name Register as a Trust

When attempting to register or complete a change of registrant on an AU domain name using a Trust ABN as your Registrant or Eligibility ID you will receive the following error:

‘The provided TLD cannot be registered using trust eligibility. Please enter the registrant information of the trustee instead of the trust.’

If presented with this error, you should resubmit your order with the Trustee’s ABN/ACN instead which you can confirm the Trustee’s ABN/ACN via the Trust Deed.

As part of auDA’s eligibility requirements, we must verify that the trustee is either an Australian citizen or the trustee is an Australian body corporate which is done by utilising the Trustee’s ABN at the time of registration.

This tutorial will explain what a WordPress post is and the difference between WordPress pages vs. posts, plus how to post or manage your posts in WordPress.

What is a Post in WordPress?

A post in WordPress is a piece of blog content that you add to your site, like articles posted on a page. Posts are part of your site’s dynamic content, and WordPress usually lists them in reverse chronological order.

You can organize your posts in WordPress with categories and tags, date them, or pin them to a page on your website.

WordPress posts on your pages are a big part of your Content Marketing strategy and aid in defining a unique brand viewpoint. Providing quality and in-depth content consistently keeps your customers engaged.

WordPress Post vs Page

There is a fundamental difference between pages and posts on WordPress

In essence, WordPress pages are static content, as they form the foundation of your website. Usually, they hold generic content like your Home page, About us, Contact us page, or pages containing your Terms of Service and Privacy policies.

The content types are presented with the so-called Post types in WordPress. There are default WordPress post types, and developers can create custom post types as well. The default WordPress post types are as follows:

  • PostWordPress posts are dynamic and time-sensitive content that informs the reader on a particular topic. WordPress displays them in reverse chronological order, meaning the last post is shown first on your blog page. They can be sorted with categories and tags, archived, and streamed in a feed. Post comments are enabled by default.
  • Page Pages in WordPress are generally the static part of your website. You may create promotional pages available only upon a marketing or advertising campaign. Still, they shouldn’t be dated as it wouldn’t be appropriate. WordPress pages can’t be categorized but can be organized in a hierarchy (parent/child) structure.
  • Attachments – These are usually images, media content, or file linking in your content; they have names and descriptions. Image attachments include metadata like file size, location, thumbnails, etc.
  • Revision – WordPress post revisions are the temporary auto-saved versions of your posts, which you can restore if you want to undo a recent change. Post revisions are saved every 60 seconds, so if anything happens, you can revert back to the last saved revision. Additionally, every time you save, update or publish a post, a permanent revision is stored in your WordPress database.
  • Navigation menu – Navigational menus are customisable menus you add to your theme. You can add posts, pages, categories, and URLs to your navigation.
  • Block templates – The Gutenberg block editor allows you to create reusable blocks of content you can use again in other posts or pages. They are useful for keeping your content’s design consistent.
  • Template parts – Templates in WordPress are block types used for creating a structure for your website – like header, footer, etc. You can find the template parts in the block inserter while in template editing mode.

Apart from the default post types in WordPress, you can also create Custom post types. The recommendation is to use a plugin for crafting custom post types. For example, one of the most popular plugins for creating custom post types is WooCommerce. It allows you to add ‘product’ post types to your e-commerce.

Now that we examined the different WordPress post types, we can proceed with the practical part of creating a WordPress post.

How to Post on WordPress

Initially, the intent behind WordPress was to publish blog posts, but eventually, it evolved into a robust CMS. Still, posting is one of the key strategies for attracting visitors to your WordPress content.

To start creating your first post in WordPress, you should login to your Dashboard and navigate to Posts > Add new

Depending on your WordPress version or preference, you can craft posts in WordPress using the Gutenberg Block Editor (from version 5.0 and up) or the Classic editor (all versions up to 5.0).

Create a WordPress Post with the Classic Editor

The Classic Editor is the legacy default editor preceding Gutenberg. You can still use it if you are accustomed to it or if your WordPress version is older than 5.0. WordPress continues to support the Classic Editor plugin, as there are over 5 million active installations worldwide.

The word goes that the support for this evergreen plugin will end in 2022, although with these usage margins, it may continue longer.

Classic editor is a simple text editor; most content is in a single block. It is a bit slower to work with than Gutenberg, and HTML competency is a must for SEO and editing. This legacy editor needs additional plugins for extra features. Thus, creating high-end posts can be a complex task.

Following the steps in this section, you’ll be able to create a competitive WordPress post with the Classic editor.

Title & Content Boxes

When you start creating your WordPress post with the Classic editor, you can create and format the text in a single block. 

Further down the page, you’ll see the content boxes you can add to your post.

You can add your title in the first field at the top of the page, and clicking away will save it as your post headline. 

Below the content editor, you can see the additional features you can add to your post.

Add Media

With the Classic editor, you can add multimedia, like images and videos, directly into the content box. 

Click on the Add Media button on top of the content box, select an image from your Media Library, or upload a new one.

Alternatively, you can drag and drop image files from your computer into the content box.

Publishing Options

You can find the publishing options on the top right-hand side of the screen and as you can see, there you can find the buttons to save your draft or preview it.

From there, you can also select who can see your post (Visibility) and when to publish it.

Categories & Tags

Under the publishing options, you can see the drop-down menus from which you can assign a category to your post or tag it.

Post Thumbnails

Post Thumbnails are practically the featured images you’d add to your WordPress post.

With the Classic editor, you can add a featured image from the right-hand side of the post-editing screen. 

Click on the Set featured image link, select an item from your Media Library, or upload a new one.

Screen Options

On the top right corner of the editing area, you will find the Screen Options menu. 

You can use it to select which elements can be shown or hidden from your editing options. 

Additionally, from the same menu, you can select whether the post layout will be decided in one or two columns or enable full screen.

Additional Post Editing Options

Just below the content box, you can select from a drop-down to edit a specific option.

  • Post Excerpts menu to add an excerpt for your WordPress post. These are short summaries wrapping up the content of your post to display on your WordPress page.
  • Send Trackbacks – Select whether you want to send trackbacks to sources you are referencing on your post, and scroll down the respective menu.
  • Custom fields – Next, you can create custom fields for your WordPress post by expanding the corresponding menu. There you can add custom information to your post, like additional metadata.
  • Discussion – Expand this section to enable or disable commenting on your posts. Enabling comments for your WordPress post will allow your readers to interact with your content.
  • Slug – We recommend changing your post’s slug when your headline is rather long. You can edit it from the respective menu, as shown below.
  • Author – Finally, share the post author’s name to make things a bit more personal with your readers. WordPress automatically assigns you as the post’s author; still, you may wish to change it with another registered user. To do that, load the Author menu from the button of the area below your content block.

If you are a beginner, one of the first things you’ll need to learn is how to create a WordPress post and adding content to your website is done by publishing posts in WordPress.

Posting engaging content allows you to distinguish your brand and grab your visitors’ attention. In other words, WordPress posts are the substance of the customer experience on your website, even if you are not selling goods.

This tutorial will explain what a WordPress post is and the difference between WordPress pages vs. posts, plus how to post or manage your posts in WordPress.

What is a Post in WordPress?

A post in WordPress is a piece of blog content that you add to your site, like articles posted on a page. Posts are part of your site’s dynamic content, and WordPress usually lists them in reverse chronological order.

You can organize your posts in WordPress with categories and tags, date them, or pin them to a page on your website.

WordPress posts on your pages are a big part of your Content Marketing strategy and aid in defining a unique brand viewpoint. Providing quality and in-depth content consistently keeps your customers engaged.

WordPress Post vs Page

There is a fundamental difference between pages and posts on WordPress

In essence, WordPress pages are static content, as they form the foundation of your website. Usually, they hold generic content like your Home page, About us, Contact us page, or pages containing your Terms of Service and Privacy policies.

The content types are presented with the so-called Post types in WordPress. There are default WordPress post types, and developers can create custom post types as well. The default WordPress post types are as follows:

  • PostWordPress posts are dynamic and time-sensitive content that informs the reader on a particular topic. WordPress displays them in reverse chronological order, meaning the last post is shown first on your blog page. They can be sorted with categories and tags, archived, and streamed in a feed. Post comments are enabled by default.
  • Page Pages in WordPress are generally the static part of your website. You may create promotional pages available only upon a marketing or advertising campaign. Still, they shouldn’t be dated as it wouldn’t be appropriate. WordPress pages can’t be categorized but can be organized in a hierarchy (parent/child) structure.
  • Attachments – These are usually images, media content, or file linking in your content; they have names and descriptions. Image attachments include metadata like file size, location, thumbnails, etc.
  • Revision – WordPress post revisions are the temporary auto-saved versions of your posts, which you can restore if you want to undo a recent change. Post revisions are saved every 60 seconds, so if anything happens, you can revert back to the last saved revision. Additionally, every time you save, update or publish a post, a permanent revision is stored in your WordPress database.
  • Navigation menu – Navigational menus are customisable menus you add to your theme. You can add posts, pages, categories, and URLs to your navigation.
  • Block templates – The Gutenberg block editor allows you to create reusable blocks of content you can use again in other posts or pages. They are useful for keeping your content’s design consistent.
  • Template parts – Templates in WordPress are block types used for creating a structure for your website – like header, footer, etc. You can find the template parts in the block inserter while in template editing mode.

Apart from the default post types in WordPress, you can also create Custom post types. The recommendation is to use a plugin for crafting custom post types. For example, one of the most popular plugins for creating custom post types is WooCommerce. It allows you to add ‘product’ post types to your e-commerce.

Now that we examined the different WordPress post types, we can proceed with the practical part of creating a WordPress post.

How to Post on WordPress

Initially, the intent behind WordPress was to publish blog posts, but eventually, it evolved into a robust CMS. Still, posting is one of the key strategies for attracting visitors to your WordPress content.

To start creating your first post in WordPress, you should login to your Dashboard and navigate to Posts > Add new

Depending on your WordPress version or preference, you can craft posts in WordPress using the Gutenberg Block Editor (from version 5.0 and up) or the Classic editor (all versions up to 5.0).

Create a Post in WordPress with Gutenberg

WordPress version 5.0 introduced the Gutenberg block editor in 2018 as the default editor, substituting the Classic Editor. The block editor is an intuitive software allowing you to craft rich, customized content. The best part is that you can create outstanding multimedia content with little to no coding skills.

One of the real perks of Gutenberg is that it also includes a drag-and-drop functionality. You can also create reusable and interchangeable content blocks with various formats. These reusable blocks can help speed up future content creation and enhance design consistency across pages.

This section will guide you through the steps for crafting a post on WordPress using Gutenberg, so read on.

Once you load the block editor’s workspace, you can start creating your post. Gutenberg loads on a full screen mode by default to help you focus on your work without distractions. You can access the post screen Options kebab menu in the top page toolbar.

With it, you can deactivate the fullscreen more or use a spotlight mode to focus on the block separately. 

Here, you can switch between the Visual and Code editor, allowing you to add HTML code directly to the post. There are tools available to manage your content blocks or create shortcuts.

The Preferences button launches another menu, where you can select from available panels to include in your Post Settings Menu.

Add a Title

Choosing a title for your post is essential since it makes it stand out from the crowd. You should carefully compose a title for your post, ensuring that it is enticing for your readers. A WordPress post title should be intriguing and eye-catching since this is your visitors’ first impression of your post.

Furthermore, it is good to know that Search Engines (like Google) are also parsing the title of your post to display it upon a search request. Thus, you should remember that you need to capture your audience’s attention along with that of search engines.

In order for Google to display your headline in full, it shouldn’t be longer than 60 characters. According to recent studies, the average attention span has fallen to just 8 seconds. This is the amount of time you have to encourage your visitors to interact with your content.

Your title is automatically assigned as the URL slug for your post, which is a part of your post’s permalink.

Thus, make sure to keep it short and to the point by removing any “stop words” like “in,” “from,” “to,” etc.

Content Blocks

Next, you should start creating your post within content blocks. 

A content block can be a paragraph of text, an embedded video, an image, an infographic, a gallery, or a social media widget

To launch the contextual block menu, type “/” as shown in the screenshot below.

Alternatively, you can use the Toggle block inserter by clicking the “+” sign in the upper left corner of the page.

The following options are available to choose from when creating content blocks:

  • Text – With this block, you can add different text formats like paragraphs, headings, lists, quotes, or tables. It is up to you to make your post more appealing to the visitor; text format variety can help with that.
  • Media – To make your content even more engaging, you can add media blocks with images, audio, video, or galleries relevant to your post.
  • Design – This type of block allows you to structure your post in columns, add buttons or page breaks, etc.
  • Widgets – You can also use various widgets to share your latest posts, add a calendar, or a search toggle.
  • Theme – The theme group of blocks allows you to add post excerpts, featured images, post comment forms, or post author’s bio. The variety of block types you can add here depends on the widgets that come with your WordPress theme.
  • Embeds – With these blocks, you can embed content from other sources like social media platforms (Facebook, Twitter, Pinterest, etc.)

Gutenberg allows you to control each block’s colours, alignment, and width so you can customize your WordPress post. To personalize your post’s outlook, check out the menu on the right-hand side of the block editor workspace.

Hovering over any block will launch the Options menu. With it, you can move blocks up and down in the post, format, or align them. Click on the Drag button to drag a block and place it where you see fit by dropping it.

Add Media to your Post

Making a visual statement by adding media to your WordPress post is a great way to gain visibility and interact with your visitors.

Using the Toggle block inserter, you can add media like galleries, images, videos, or audio files related to your post.

You can upload media files from your Media Library, insert from URL or even upload directly to the post.

Post Categories & Tags

Categories and Tags are the main techniques to organise your posts to make their topics clear to the visitor from the start. Categories should be descriptive but straight to the point aiming to outline the structure of your content.

Organizing your WordPress posts in categories helps your audience to get around your site easily. If you intend to create a large blog site, you should take care of your content’s structure so that visitors can sort through it hassle-free.

Click on the Category module under Post in the right-hand sidebar to get the post in WordPress assigned to a category. Check the box next to the category you want this post added to or create a new one from the respective button.

Tags are usually short one or two words from your content’s related keywords. WordPress tags help your visitors to find the posts on your site corresponding to their search intent.

To add tags to your post content, you can use the Tags module in the sidebar by typing a keyword and clicking Enter.

Add a Featured Image to your WordPress Post

A Featured image is the main image representing a WordPress post, also known as a post thumbnail

This is the image that shows along with a shared link of your post; thus, it plays an important role in your WordPress SEO.

To add a featured image for your WordPress post with Gutenberg, click on the Featured image drop-down menu from the right sidebar. 

Click on the Set Featured Image button and add an appropriate image from your Media library or upload a new one.

Post Publishing Options

The post publishing options are under the Summary section in the Post tab of the right sidebar. 

First comes the Visibility preference, where you can select whether your post should be public, private, or password protected.

You can also select a specific time and date you want your post published by clicking the respective text link next to Publish.

If you are not ready to publish just yet or you haven’t decided on that part, you can leave it for later.

Change the Post URL Slug

As mentioned above, WordPress automatically assigns your post title as your URL slug.

Sometimes, titles may be long, which wouldn’t look so good for a post slug in terms of SEO optimization. Thus, you may need to change the post’s URL slug to comply with the search engine algorithm preferences.

To edit your post’s URL slug (permalink), check the Summary tab of the right sidebar and click on the URL radio button. Alter your URL slug from the available field and click away so it can be saved.

Change the WordPress Post Author

Further down in the sidebar’s Summary section, you can change the post’s author name.

The author’s name must be present in your registered WordPress users, so you can select it from the corresponding drop-down.

WordPress Post Comments

Under the Discussion section, you can check the box if you want readers to comment on your WordPress post

From this comments section, you can also allow pingbacks and trackbacks from your blog post.

Preview & Publish your WordPress Post

You can click the Save draft button if you’ve reached a point in your post when you need a break. 

This way, all your changes so far will be stored, and you will be able to proceed from where you left off.

When you are ready with your WordPress post, you can Preview it from the respective button to see how it looks on your website.

Then if you are pleased with the results, publish it from the Publish button in the upper right corner.

That’s it, your post is now available on your WordPress site, and your visitors can enjoy it.
